TERMS & CONDITIONS
1. Weekend Group Trips
- The advance payment is non-refundable. Full payment must be completed before the trip starts.
- If a traveler fails to join on the departure date after booking confirmation, the booking will be treated as a “No Show.” In such cases, the advance amount will be forfeited, and the traveler must be liable to pay the full amount incurred by the company for the reserved seat and trip arrangements.
- A valid government-issued ID proof is mandatory for boarding. Travelers without valid identification will not be permitted to join the trip.
- Name changes on confirmed bookings are not allowed. Only the individuals whose names were provided during booking confirmation will be allowed to travel.
- Any unused inclusions during the trip will not be eligible for refunds or adjustments.
- Travelers are solely responsible for their personal belongings. IDEA VACATION will not be responsible for any loss, theft, or damage during the trip.
- Departure timings are fixed. All travelers are requested to report at the pickup point at least 30 minutes prior to departure and coordinate with the Trip Coordinator(s).
- Air conditioning may not operate in hilly regions due to road conditions and safety concerns. The driver will decide the usage of AC depending on terrain and travel conditions.
- Consumption of alcohol, smoking, or any prohibited substances during the journey is strictly prohibited to ensure the safety and comfort of all travelers.
- We maintain a respectful and disciplined travel environment. Any misconduct, misbehavior, or indiscipline may result in removal from the trip without any refund.
- IDEA VACATION shall not be held responsible for delays, cancellations, itinerary changes, or additional expenses caused by natural calamities, weather conditions, roadblocks, landslides, political disturbances, vehicle breakdowns, accidents, or any unforeseen circumstances beyond our control.

- IDEA VACATION does not provide insurance coverage for illness, accidents, theft, loss, or any other personal emergencies during the trip.
- The itinerary is subject to change depending on weather conditions, road situations, operational requirements, and the physical capabilities of participants. The management reserves the right to modify the schedule in the interest of safety, comfort, and overall trip experience.
- Travelers joining adventure activities such as trekking, rafting, skiing, camping, bonfire activities, or any other activity do so at their own risk. IDEA VACATION will not be responsible for any injury, accident, illness, or loss occurring during such activities.
- In case of any medical emergency, accident, injury, or health-related issue during the trip, all medical and evacuation expenses shall be borne by the traveler.
- Travelers are expected to maintain proper behavior throughout the trip. Any damage caused to hotel property, vehicles, camps, or equipment by a traveler will be chargeable directly to the concerned individual.
- The company reserves the right to deny boarding or remove any traveler from the trip without refund in cases of misconduct, intoxication, illegal activities, or behavior affecting the safety and comfort of other travelers.
- No refund shall be provided for trip interruptions, missed sightseeing, delayed arrivals, or early departures caused by personal reasons or unavoidable circumstances.
- Travelers are advised to carry necessary medicines, warm clothes, valid ID proof, and personal essentials required for the trip.
- By confirming the booking, the traveler agrees to all Terms & Conditions mentioned by IDEA VACATION.
2. Private & Customized Trips
- Private trips are customized according to client requirements and availability.
- Hotel category and stay options are subject to availability at the time of booking.
- Advance payment is mandatory to confirm hotels, transport, and other services.
- Cab usage is limited as per itinerary and package inclusion.
- Additional sightseeing, extra hours, entry tickets, and personal expenses are chargeable separately.
- Changes in itinerary after confirmation may result in additional charges.
- Cancellation charges for private trips may vary depending on hotel and transport vendor policies
3. Common Travel Conditions
- Valid government-issued ID proof is mandatory for all travelers.
- Travelers are responsible for their personal belongings during the trip.
- Adventure activities are undertaken at the traveler’s own risk.
- Personal expenses such as shopping, tips, room service, laundry, heater charges, and meals not mentioned in inclusions are not covered.
- Idea Vacation is not responsible for delays caused by weather conditions, traffic, strikes, road blockage, natural calamities, or government restrictions.
- Mountain and remote area travel may involve unforeseen delays and changes in itinerary.
4. Liability Disclaimer
- Idea Vacation acts as a travel planner and coordinator.
- Certain services such as transport, hotels, camps, and activities are operated by third-party vendors.
- Idea Vacation shall not be held liable for any injury, loss, accident, delay, baggage loss, or damage caused by third-party service providers or circumstances beyond control.
PAYMENT, CANCELLATION & REFUND POLICY
1. Weekend Group Trips
- Booking amount is required to confirm the seat/package.
- Remaining payment must be completed before departure.
- Booking amount is non-refundable.
- No refund will be provided for missed departures, unused services, or voluntary trip discontinuation.
- Cancellation charges may apply depending on the time of cancellation before departure.
- In some cases, the amount may be adjusted for a future trip subject to availability and management approval.
2. Private & Customized Trips
- A minimum advance payment is required to confirm private/customized trips.
- Full payment must be completed before the trip starts unless agreed otherwise.
- Cancellation charges for hotels, transport, or activities will be applicable as per vendor policies.
- Refunds for private trips depend on supplier cancellation terms and prior bookings.
- Any modification after booking confirmation may result in additional charges.
3. Refund Processing
- Refunds, if applicable, will be processed within 7–14 working days.
- Refunds will be transferred through bank transfer, UPI, or the original payment method whenever applicable.
- No refund will be provided for unused services included in the package.
4. Force Majeure
- No refund or compensation will be provided for cancellations, delays, or itinerary changes caused by natural disasters, heavy snowfall, landslides, strikes, road blockage, government restrictions, pandemics, or any unforeseen circumstances beyond control.
5. Jurisdiction
- Any disputes related to bookings or services shall be subject to Delhi jurisdiction only.
